 ADMINISTRATIVE ASSISTANT COORDINATOR

Our primary function is in the area of rental property management, real estate development and social services for lower income households.

The Administrative Assistant Coordinator will report to the Executive Director and will support day-to-day operations of administration, investigations, accounting, community supportive services, maintenance, public housing, or Section 8. Position requires extensive hands on experience/knowledge and the ability to work with minimal supervisory oversight. More specifically, job duties will include but are not limited to:

  • Enters and maintains various data in computer or manual information systems, such as purchase orders, inventory, payroll, accounts payable and receivable, inspections, human resources, logs, miscellaneous data, etc.
  • Plans and directs development and communication of information designed to keep public informed of organization’s services
  • Prepares and distributes fact sheets, news releases, photographs, or scripts to media representatives and other persons who may be interested in learning about or publicizing organization’s activities or services
  • Provides support to the organization’s Board of Commissioners including taking and distributing minutes and assisting with various requests and meetings
  • Attends various meetings, including public meetings, and records notes
  • Composes and types routine correspondence
  • Supervises administrative staff in the central office
  • Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, and records and transcribes minutes of meetings
  • Arranges and coordinates travel and training schedules and reservations
  • Prepares reports, meeting minutes, letters, charts, etc.
  • Assists in monitoring agency contracts, grants, MOU's, proposals and other agreements for reporting and compliance with regulations
  • Assists in finalizing contract actions by generating and developing contracts, change orders, supplemental agreements and administrative modifications
  • Prepares outgoing mail and correspondence, including e-mail and faxes
  • Ensures policy, procedures, rules, regulations and laws are followed
  • Uses and learns computer and other technological applications effectively

  • High School Diploma or GED required, Associates Degree preferred
  • 3 – 5 years administrative experience required
  • Ability to write routine reports and correspondence
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form
  • Proficiency in Microsoft Word, Excel, and Outlook
  • Possession of a valid Florida driver’s license
